How to white-label a report, step by step (PDF, dashboard or AI output)

A practical walkthrough for putting your brand on any report format: PDFs, live dashboards, and AI-generated work. What to do, in order, with the traps to avoid.


This is the practical version. No theory, just the steps to take a report you already have and get it in front of a client wearing your brand instead of the tool's. The steps differ a little by format, so pick your lane below.

First, the setup you do once

  1. Export your logo with a transparent background. PNG or SVG. A logo in a white box on a colored page is the most common self-inflicted wound in white-labeling.
  2. Write down your two brand colors as hex codes. Primary and accent is plenty.
  3. Decide your delivery address. A subdomain like portal.yourstudio.com is ideal. Set it up once in your portal tool and forget it.

Fifteen minutes, once. Everything after this is per-report and takes seconds.

Lane one: a PDF report

  1. Rebrand the document itself: your logo in the header, your colors on headings and charts. If the tool that made it will not let you remove its branding, export to PDF and rebuild the cover page.
  2. Do not email it as an attachment. Attachments get lost, versioned badly, and carry zero branding around them.
  3. Upload it to your branded client portal and send the portal link instead. The client gets your brand around the file and always finds the latest version at the same address.

Lane two: a live dashboard

  1. Check the share link the dashboard tool gives you. Nine times out of ten it carries the vendor's domain and logo, which is exactly what you do not want the client to see.
  2. Re-host the dashboard link inside your portal so the client reaches it through your address, framed by your brand.
  3. Keep it live. The whole value of a dashboard is that it updates. White-labeling by screenshot throws that away.

Lane three: an AI-generated report

  1. Get the output polished in your own voice first. The branding fix will not save generic writing.
  2. Never send the raw share link. A claude.ai or chatgpt.com URL announces the tool and can expire on you. We covered why in the guide to sharing Claude artifacts with clients.
  3. Paste the artifact link into your portal. It gets re-hosted at your domain, interactive parts intact, with no AI branding anywhere.
